Job Description

The Facilities Services Analyst is responsible for providing administrative and analytical support to the Facility Services Function in day-to-day operations. This individual will support all functions of the quality assurance inspection program by assisting in: performing research and developing performance metrics and creating and maintaining reports. Acts as the system administrator for the computerized maintenance management system. Assists in planning and developing comprehensive programs for the operation, maintenance, repair, and improvement of the facility; creating and maintaining records and reports about work requests; assisting in the development of weekly work schedules; and, participating in projects about facility maintenance productivity. Uses Computer-Aided Design (CAD) software applications to read blueprints and project drawings. Works with Quality Control Assistants to increase section efficiency.

Responsibilities

  • Works with section leadership to identify opportunities for process improvement.
  • Research options to meet customer needs and recommend solutions to enhance services provided by our teams.
  • Identifies metrics to be used in tracking services provided by the team.
  • Develops feedback mechanisms and analyzes metrics to recommend improvements.
  • May be required to analyze work orders to identify trends.
  • Incumbent provides this trend information to management to assist in their review of work planning. Also makes recommendations to senior management to improve systems within their section.
  • Assists the team in various procurement-related activities including the development of scopes of work, assisting with technical writing, and completion of purchase requests, and assisting in the purchase of supplies and equipment.
  • The incumbent identifies and analyzes the facility's management processes to identify trends and issues that affect the efficiency, effectiveness, and fiscal condition of the operations.
  • Must work with multiple maintenance and facilities systems and have some understanding of the interfaces between those systems.
  • May recommend various courses of action related to process improvement and quality control and provide information to supervisors and inspectors to select the best approach to resolving operational issues.
  • As a facilities analyst manager, handles minor projects with little supervision.
  • Position performs research and data gathering to assist in determining solutions to issues within the management division. Makes recommendations that may affect the entire division.
  • Performs routine analysis and assists in preparing reports that impact the operation of the team and impact customer service.
  • The incumbent has contact with all staff levels at the Board and must be able to communicate effectively both orally and in writing.
  • Must have good communication skills and be able to present findings from reports and analyses orally, in writing, or graphically.

Requirements

  • The position requires strong communication, analytical and organizational skills.
  • This is typically acquired by the completion of an Associate’s Degree (or two years of college-level work) in a closely related field or equivalent combination of relevant training and experience.
  • Must demonstrate proficiency in the use of standard automation applications i.e., Microsoft Office Suite, and experience maintaining automated records.
  • Knowledge of various automated systems i.e., work order or comparable system and Oracle is desirable.
  • Must have an aptitude for numbers and attention to detail.
  • Good oral, written, organization, and problem-solving skills are required.
  • Must be able to multi-task and work independently.
  • Must have demonstrated excellent customer relations skills and ability to deal professionally with customers at all levels in and outside the Board.  Must be committed to teamwork
